School ERP in Jharkhand: What a JAC School Actually Needs from Software

Most school ERP software sold in India is built with a CBSE school in mind, and a school in Jharkhand finds out the gap only after paying. If you run JAC classes — often next to a CBSE wing on the same campus — the school ERP you pick for Jharkhand has to understand two boards, two result formats and a registration season that arrives with very little warning. 1. JAC and CBSE in one system, not two installations

The first question to ask any vendor: can one school run JAC and CBSE classes in the same system, with each board keeping its own rules? A workaround where you buy two separate accounts means two student lists, two fee ledgers and two logins for the accountant — and the head never sees one picture of the school.

What 'properly dual-board' should mean in practice:

• Each class or section is tagged to its board, and the student list can be filtered by board.
• Grading, pass rules and compartment rules are set per board, not once for the whole school.
• Marksheets come out in each board's own format from the same screen.
• Fees, attendance and parent communication stay common, because the office runs them the same way for everyone.

2. Marks and results in the JAC format

JAC declares matric results in divisions. As reported by Careers360 for the JAC Class 10 results, a student needs at least 33% in each subject (theory and practical) and 33% overall to pass, and the bands are: 75% and above with distinction, 60% and above first division, 45% to 60% second division, and 33% to 45% third division. CBSE, by contrast, works in grades. Your school software must hold both at once.

Board rules get revised, so ask the vendor whether you can edit grading rules yourself or have to wait for their next release. A school ERP that hard-codes last year's rules becomes a liability the year they change.

Dates change every year, so treat the portal notice as the only authority.

No private ERP should claim to file your board forms for you — the entry still happens on the official portal. What good software does is make the data ready:

For your JAC wing, follow the council's current eligibility notice — but either way, the safest approach is to watch every student against a 75% line from the start of the session.

• Marking should take a minute per section — a tap grid or a QR scan, not a paper register copied later.
• Parents of absent children should get an alert the same morning.
• A list of students below 75% should be one click away in September, when there is still time to act — not discovered in February.

5. Hindi and English documents and communication

Ask to see the actual documents the system prints — marksheet, fee receipt, transfer certificate, ID card — with your school's logo on them. Check whether names in Hindi print correctly and whether your staff can operate the daily screens without calling someone. For parents, the question is simpler: will the absence or fee message reach them on WhatsApp, in words they read comfortably?

6. Fee structures that match how Jharkhand schools collect

Fee collection here is still a mix of cash at the counter, UPI and bank transfer, often with class-wise structures, transport fees and concessions for siblings or staff children. The school ERP should handle:

• A separate fee structure per class, with transport and one-time charges.
• An instant printed or WhatsApp receipt for every payment, cash or online.
• Dues aged by how long they have been pending, so the office chases the old dues first.
• Automatic reminders on a schedule, so nobody has to make fifty calls every month.

7. Support you can actually reach

Training is where most rollouts in Jharkhand succeed or fail. Ask where the vendor is based, whether they will train your clerks on site with your own data, and who you call during the first month. A vendor two states away with a ticket form is a different experience from one who can visit.
