School Management Software in Bihar: What to Check Before You Buy

Choosing school management software in Bihar is not the same as choosing it in Bengaluru. Your school may run BSEB classes alongside a CBSE wing, the internet may drop during first period, half your fees may still come in cash, and the vendor who sold you the software may be a phone number in another state. This checklist covers what a Bihar school — BSEB, CBSE or both — should verify before paying anyone, including us.

1. Does it fit BSEB as well as CBSE?

Most products are designed around CBSE. If your school follows the Bihar School Examination Board, check the parts that are board-specific rather than taking 'supports all boards' on trust.

BSEB results and marksheets

BSEB matric results are declared in divisions out of 500 marks. As published by education portals such as CollegeDekho and Careers360, first division is 300 and above, second division 225 to 299 and third division 150 to 224, with a minimum pass mark required both in each subject and in aggregate. Ask the vendor to print a sample marksheet for one of your own BSEB classes with these bands, and a CBSE one beside it with grades. If they cannot, the 'support' is a spreadsheet you will be building yourself.

BSEB registration data

BSEB registration for Class 9 (for the matric exam) and Class 11 (for intermediate) is done online by the head of the school through a school login on the board's portals, such as secondary.biharboardonline.com, and the board issues dummy registration cards that schools and students check for errors before the final card. That entry happens on the board's site, not in any private software. The fields checked on the dummy card include the spelling of the student's, father's and mother's names, date of birth, gender, caste, religion, photograph and subjects. What your software should do is keep exactly these details complete and correct from admission, and export them class-wise so filling and checking the board form is quick.

Attendance for exam eligibility

In August 2023, as reported by Careers360, BSEB made a minimum 75% attendance mandatory for Class 9 to 12 students to appear in board exams. CBSE's bye-laws also require 75%. So the attendance module is not a nice-to-have: you need a live list of every student below 75%, early enough in the session to call the parents.

2. What happens when the internet drops?

Connectivity in many Bihar towns is patchy — fine in the morning, gone during rain, slow on a busy school network. Ask these questions plainly:

• Does the software need the internet to mark attendance or collect a fee, or does it work offline and sync later?
• Can staff use it on mobile data from a phone if the school broadband fails?
• If WhatsApp or SMS messages cannot go out, are they lost, or queued and retried?
• Where is the data backed up, and how would you restore it after a lost laptop?

Be wary of anyone who says 'no internet needed' for a cloud product. The honest answer for most modern systems is that the screens need a connection, a phone hotspot is the practical backup, and the messaging should queue rather than fail.

3. Hindi support that goes beyond a translated menu

In a lot of Bihar schools the clerk, the accountant and many teachers work more comfortably in Hindi. Check three things: whether daily screens are simple enough to use without English fluency, whether training is given in Hindi, and whether parent messages reach families in language they read easily. A beautiful English dashboard that nobody in the office opens is money wasted.

4. Fee collection as it actually happens

Online payment links are useful, but most Bihar schools still collect a large share of fees in cash at the counter, often in part-payments. School management software for Bihar should handle that reality, not just the online case:

Ask how many hours of training are included, whether it is on site or on a video call, whether it uses your data or a demo school, and who answers the phone in the first month. Software fails in schools far more often from poor adoption than from missing features. A vendor who trains the clerk at the counter, with your real fee heads, gets used; one that sends a PDF manual does not.

6. On-site versus remote support in Bihar

Very few school software vendors are based in Bihar, so ask directly:

• Where is your office, and which Bihar cities do you actually visit?
• Is the demo, setup and training done at our campus or only online?
• After go-live, is support by phone, WhatsApp, or a ticket form — and in what language?
• Is there any extra charge for a visit?

Remote support is perfectly workable for day-to-day questions. What usually needs a person in the room is the first setup, data cleanup and training the staff.

7. Pricing questions for Bihar schools
